How to set up groups

Introduction

In Zemtu, access to vehicles is controlled through groups. Whether a user can book vehicles in a group depends on how they are admitted: either through membership in that group or through an accreditation for the organisation. This article explains these concepts and shows how the admission modes work together.

What are groups?

Groups organise vehicles and users. Each group has an admission mode:

  • Membership request only – Only users who are explicit members of this group can use its vehicles.

  • Accreditation request only – Any user accredited for the organisation can use this group’s vehicles without being a group member.

  • Membership or accreditation request – Either membership in this group or accreditation for the organisation is enough to use its vehicles.

What is membership?

Membership links one user to one specific group. That user can then access the vehicles of that group. Memberships are granted e.g. via invitation links, manually in the admin, or through the sign-up/request process.

What is accreditation?

Accreditation usually applies to the whole organisation, not to a single group. An accredited user can use vehicles in any group whose admission mode is Accreditation request only or Membership or accreditation request, without being a member of each of those groups.

Examples

Admission modes used in the examples:

  • Group A: Membership request only

  • Group B: Accreditation request only

  • Group C: Membership or accreditation request


User 1 requests membership in Group A → They can only use vehicles in Group A.

User 2 requests accreditation (for the organisation) → They can use vehicles in Group B and Group C, because both groups allow access via accreditation.

User 3 requests membership in Group C → They can only use vehicles in Group C.

User 4 already has membership in Group A → They can use Group A’s vehicles. They then request accreditation → They can also use Group B and C’s vehicles. With both membership and accreditation, they can use vehicles in Groups A, B and C.
